Welcome to VisaEase ("Company", "we", "us", or "our"). These Terms and Conditions ("Terms") govern your access to and use of our website located at www.visaease.com and all visa assistance, documentation, and consultancy services provided by us.
By accessing our website, submitting an inquiry, completing a service registration, or engaging our paid services, you confirm that you have read, understood, and agreed to be bound by these Terms in their entirety. If you do not agree to any part of these Terms, you must refrain from accessing or using our website and services.
These Terms constitute a legally binding agreement between you and VisaEase and apply to all visitors, registered users, inquirers, and paying clients. We reserve the right to amend these Terms at any time. Continued use of our services following the publication of any amendments constitutes your acceptance of the revised Terms. We encourage you to review this page periodically.
2 Use of Services
VisaEase provides visa consultation, document review, application preparation, and submission facilitation services for individuals seeking visas for international travel. Our services are designed to simplify the visa application process for tourist, business, student, and other visa categories.
- You must be at least 18 years of age to independently engage our services. Individuals below 18 must be represented by a parent or legal guardian, who assumes full responsibility for the accuracy of information and compliance with these Terms.
- Our services are primarily available to Indian nationals and residents. Non-resident Indians and foreign nationals may engage our services subject to applicable laws and embassy eligibility requirements.
- You agree to use our services solely for lawful, personal, and legitimate travel purposes in accordance with these Terms and applicable Indian law.
- You may not use our platform to submit false, misleading, fabricated, or fraudulent information or documents to embassies, consulates, or immigration authorities. Any such action is a criminal offence and VisaEase bears no responsibility for consequences arising therefrom.
- We reserve the right to refuse or withdraw service to any individual, at our sole discretion, without obligation to provide a reason.
- Our services are provided for a single application per engagement unless a multi-application package is explicitly agreed upon in writing.
3 User Responsibilities
As a client of VisaEase, you bear full responsibility for the following:
- Accuracy of Information: Providing truthful, complete, and accurate personal, financial, and travel information. Any false declaration — whether intentional or negligent — may result in visa rejection, travel bans, or legal consequences for which VisaEase bears no responsibility whatsoever.
- Document Submission: Submitting all required original and supporting documents in the condition, format, and within the timelines specified by our team. Delays caused by incomplete or late document submission are not the responsibility of VisaEase.
- Passport Validity: Ensuring your passport has the minimum required validity — typically at least 6 months beyond your intended period of stay — and sufficient blank visa pages as stipulated by the destination country's embassy.
- Travel Insurance: Obtaining valid travel insurance where mandated or recommended by the destination country's embassy or consulate prior to application submission.
- Timely Communication: Responding promptly to queries and requests from our team. Missed deadlines, appointment slots, or application windows resulting from delayed responses by you are not the liability of VisaEase.
- Embassy & VFS Appointments: Attending scheduled embassy, consulate, or VFS centre appointments on time with all required documents. Missed or rescheduled appointments due to your absence are non-refundable and may incur additional fees.
- Financial Standing: Demonstrating sufficient financial capacity as required by the embassy. VisaEase cannot fabricate, alter, or inflate financial documents on your behalf.
- Compliance with Embassy Rules: Following all instructions, guidelines, and requirements issued by the relevant embassy or consulate. VisaEase provides guidance but cannot override embassy-specific requirements.
4 Payment & Refunds
4.1 Service Fees
Our service fees are communicated clearly in writing before you confirm your engagement with us. All quoted fees are exclusive of government or embassy visa fees, VFS or BLS processing charges, biometric fees, courier charges, travel insurance premiums, and any other applicable third-party costs, unless explicitly stated otherwise in the engagement confirmation.
4.2 Payment Terms
- Full payment of VisaEase service fees is required upfront before we commence document review, preparation, or submission on your behalf.
- Government and embassy visa fees must be paid at the time of application and are non-refundable under any circumstances, regardless of the outcome of the application.
- We accept payments via UPI, NEFT/RTGS bank transfer, debit and credit cards, and net banking. Payment confirmation will be issued via email.
- All prices are quoted in Indian Rupees (INR) and are inclusive of applicable GST unless stated otherwise.
4.3 Refund Policy
- Visa Rejection Due to Our Error: If your visa application is rejected solely and directly due to a demonstrable error on our part — such as submission of incorrect forms or wrong documents prepared by us — we will refund 100% of our service fee upon verification.
- Visa Rejection Due to Applicant Factors: If rejection results from factors beyond our control — including but not limited to your financial history, travel history, prior visa refusals, purpose of travel, personal profile assessment, or the embassy's discretionary judgment — no refund of service fees will be issued.
- Cancellation Before Document Submission: If you cancel your engagement after paying but before we submit your application to the embassy or VFS, a cancellation fee of 30%–50% of the service fee will be deducted and the balance refunded.
- Government & Embassy Fees: These fees are paid directly to the respective authority on your behalf and are strictly non-refundable under any circumstances.
- Refund Processing Time: All approved refunds will be processed within 7–10 business days to the original payment method used at the time of engagement.
5 Visa Approval Disclaimer
VisaEase provides professional assistance, expert guidance, and facilitation services to improve the quality and completeness of your visa application. However, the final decision on visa approval, rejection, or any conditions imposed rests exclusively with the embassy, consulate, or immigration authority of the relevant country.
- We do not guarantee visa approval under any circumstances, regardless of your travel profile, financial standing, or the quality of our service.
- References to our historical approval rate (such as "98% approval rate") reflect aggregate past performance across our client base and do not constitute a guarantee of individual outcomes. Past performance is not indicative of future results.
- Embassies and immigration authorities reserve the right to refuse any visa application without providing a specific reason. Such decisions are entirely beyond the control or influence of VisaEase.
- Any verbal or written statement made by our staff regarding the likelihood of visa approval constitutes a professional assessment based on experience and publicly available embassy guidelines. Such statements are opinions only and do not constitute binding commitments or guarantees.
- We are not responsible for changes in embassy policies, immigration laws, visa fee structures, processing times, or eligibility criteria that occur after your application has been submitted.
- Clients who have previously been refused a visa in any country are advised to disclose this to our team before engaging our services, as prior refusals may materially affect the outcome of your application.
6 Third-Party Involvement
In the course of facilitating your visa application, VisaEase may interact with, share information with, or submit applications to the following third-party entities:
- Embassies and Consulates: Visa applications are submitted to the relevant government authority of the destination country. Their policies, decisions, fees, and processing timelines are entirely outside the control of VisaEase.
- VFS Global / BLS International: Official visa facilitation service providers appointed by embassies to receive and process applications. Their service charges, appointment availability, document handling procedures, and decisions are independent of VisaEase.
- Courier Partners: Your passport and documents may be returned via authorised courier services. VisaEase is not liable for delays, losses, or damages caused by courier providers, though we will assist in raising any dispute on your behalf.
- Travel Insurance Providers: Where we assist with arranging travel insurance, the terms, premiums, exclusions, and claims processes of the respective insurer apply. VisaEase is not an insurance provider.
- Payment Gateways: Online payments are processed by certified third-party payment gateway providers. Their terms of service and security protocols govern the payment transaction.
VisaEase is not responsible for and shall not be liable for any acts, omissions, errors, delays, or decisions of any third-party service provider involved in the visa process.
7 Limitation of Liability
To the maximum extent permitted under applicable Indian law:
- VisaEase's total aggregate liability to you for any claim arising out of or in connection with our services — whether in contract, tort, negligence, or otherwise — shall not exceed the service fee actually paid by you to us for the specific service engagement giving rise to the claim.
- We shall not be liable for any indirect, incidental, special, consequential, or punitive damages of any kind, including but not limited to loss of earnings, loss of business opportunities, non-refundable travel or accommodation bookings, loss of data, or any other consequential financial losses arising from visa delays, rejections, or cancellations.
- We are not liable for losses arising from force majeure events, including but not limited to natural disasters, pandemics, government-imposed travel bans, war, civil unrest, or any event beyond our reasonable control.
- We are not liable for any loss or damage resulting from your provision of inaccurate, incomplete, or misleading information or documents.
- We strongly advise all clients not to make non-refundable travel bookings, accommodation reservations, or financial commitments in relation to their trip until their visa has been granted and received.
8 Cancellation Policy
- Before document review begins: Full refund of the service fee, less a processing and administrative fee of ₹500.
- After document review has commenced, before submission: 50% of the service fee is refunded. The remaining 50% covers the work already performed by our team.
- After submission to the embassy or VFS: No refund of the service fee will be issued. Embassy, VFS, and biometric fees already paid on your behalf are also non-refundable.
- Embassy or VFS appointment missed by the client: No refund will be issued. Rescheduling of the appointment, where possible, will be subject to embassy availability and may incur additional appointment and administrative charges.
- Client-initiated travel cancellation or change of plans: Treated as a standard cancellation per the stages above. VisaEase bears no liability for any loss arising from your change of travel plans.
All cancellation requests must be submitted formally in writing via email to support@visaease.com with your full name, application reference number, and reason for cancellation. Requests will be acknowledged within 48 hours and processed within 5–7 business days.
9 Intellectual Property
All content available on the VisaEase website — including but not limited to text, articles, checklists, graphics, logos, icons, images, UI design, and software — is the exclusive intellectual property of VisaEase or its licensed content suppliers and is protected under the applicable Indian intellectual property laws, including the Copyright Act, 1957 and the Trade Marks Act, 1999.
- You may not reproduce, copy, distribute, republish, transmit, display, modify, or create derivative works from any content on our website without our prior written permission.
- You may not use the VisaEase name, logo, branding, or trademarks in any manner that is misleading, defamatory, or that implies an unauthorised association or endorsement.
- Any feedback, suggestions, or ideas you voluntarily share with us regarding our services may be used by VisaEase without obligation, compensation, or attribution to you.
- Unauthorised use of our intellectual property may result in civil and/or criminal action under applicable Indian law.
10 Governing Law & Jurisdiction
These Terms and Conditions shall be governed by, construed, and enforced in accordance with the laws of the Republic of India, without regard to its conflict of law provisions.
Any dispute, claim, or controversy arising out of or relating to these Terms, our services, or any breach thereof shall be subject to the exclusive jurisdiction of the competent courts located in Bangalore, Karnataka, India. By using our services, you irrevocably consent to the personal jurisdiction of such courts.
In the event of any dispute, the parties agree to first attempt resolution through good-faith negotiation for a period of not less than 30 days before initiating any formal legal proceedings. If the dispute cannot be resolved through negotiation, either party may seek relief from the courts of competent jurisdiction in Bangalore.
11 Changes to These Terms
VisaEase reserves the right to modify, update, or revise these Terms and Conditions at any time, at our sole discretion, to reflect changes in our business operations, service offerings, applicable laws, or regulatory requirements. When we make material or significant changes, we will update the "Last Updated" date displayed on this page.
Where reasonably practicable, we may also notify registered users or active clients of significant changes via email or through a prominent notice on our website. However, it remains your responsibility to review these Terms periodically for any changes.
Your continued access to or use of our website or services after any revised Terms have been published constitutes your acknowledgement and acceptance of the changes. If you do not agree to the revised Terms, you must discontinue use of our services and notify us accordingly.
